  • Overview

    Responsible for managing activities and providing leadership and development to both the Accounts Receivable and Accounts Payable personnel as well as assisting the company Controller and CFO in the preparation of company Financial Statements.


    Policy Administration & Reporting

    • Develop a department plan that recognizes areas of strength in the responsibilities of each employee’s duties in the A/P and A/R department.
    • Review daily activity of the A/P department with emphasis on cash discounts, proper general ledger coding, obtaining RMA credits, paying vendors in the timeframe designated in EA system, and reviewing vendor monthly statements.
    • Create all new A/P vendor accounts.
    • Prepare annual 1099’s.
    • Responsible for the overall collection and maintenance of A/R, including submission of invoices into portals in a timely manner.
    • Ensure A/R and A/P aging is meeting internal and GIS benchmarks.
    • Resolve outstanding credit balances timely.
    • Assure an A/R & A/P presence in the weekly PTG & ISG meetings.
    • Work closely with Billing Manager addressing all billing, credit and return issues.
    • Responsible for sales reps monthly charge back reports.
    • Review and approve A/R adjustments and transfers.
    • Review credit applications and determine credit terms and credit limit overrides for customers.
    • Assist the Controller in all month end processes. This includes, but is not limited to, running reports, reconciling accounts and preparation of journal entries.
    • Assist the Controller in the evaluation of the financials, checking for accuracy and reviewing items that appear inaccurate.
    • Assist the Controller with preparation of audit files.
    • Assist in the acquisition of newly attained companies.


    • Recruit, test and hire A/P and A/R staff.
    • Ensure that all positions are occupied with the proper employees who can meet the requirements of their job description.
    • Recruit for a positive attitude as well as job skills.

    Internal / External Cooperation

    • Ensure that all employees provide 100% good customer service when dealing with vendors and customers (internal and external).
    • Directs and coordinates the activities of A/P and A/R personnel.
    • Delegate authority and responsibility with accountability and follow-up.
    • Sets examples for A/P and A/R staff in the areas of personal character, emotional commitment, organizational skills and work habits.
    • Display professional and personal concern for the needs, feelings and capabilities of others.
    • Develop rapport and effective interaction with all company employees.
    • Demonstrates effective control over the issues and obstacles that affect the department and implement follow-up procedures to ensure that the issues are addressed and corrected.
    • Demonstrates ability to influence others.
    • Has high personal ethical standards and communicates those standards to all other company employees.
    • Responsible for continuing self-development.
    • Works to support other departments in attaining their goals.

    Development of Skills

    • Responsible for the performance and development of the A/P and A/R staff.
    • Prepare timely evaluations on all A/P and A/R personnel.
    • Conduct regular coaching and counseling sessions that build motivation.
    • Ensures that all new A/P and A/R staff is prepared to attend any company sponsored training sessions.
    • Assures that each new employee receives one on one training of his or her job description.
    • Conduct monthly department meetings to inform employees of company related issues.
    • Encourage employees to continue self-development by taking various training classes offered by ESI.


    • Minimum of two years of college level knowledge of subjects related to accounting, business, or similar topic areas.
    • At least 3 years of independent business administrative experience demonstrating significant problem-solving, accuracy, and leadership skills.
    • Prior management experience required.
    • High level of knowledge of Excel.
    • Demonstrated excellent customer service skills.
    • Ability to multi-task and handle several high priority items simultaneously.
    • Ability to handle high volume of transactions.
    • Strong communication skills, both oral and written.
    • Ability to work well with others to accomplish business goals.
